RAY SMUTS IN KEEPING with the trend towards a paperless society in commerce and industry, a Johannesburg company has mandated Cape Town software specialist, Macro 2000, to install its e-mail management system. The objective, says Macro’s marketing manager Anthea van Breemen, is to move towards less paper usage and reduced postage costs by e-mailing and storing documents on a permanent database. Initial analysis indicates the return on investment will be paid off in the first month through the saving on postage alone. An added bonus is the time saved by an automated system rather than operators doing manual routine jobs, as well as an image of high-tech customer service. Standard within the base Macro 2000 system is the ability to e-mail any standard report on an ad-hoc basis, operators simply specifying the e-mail recipient and address, after which the report is automatically dispatched. Also standard is the ability to automatically e-mail documents such as goods receipt/issue vouchers, packing lists, statements, invoices, and so forth, to specific customers or suppliers. As each document is completed the customer is automatically notified by e-mail. Van Breemen explains the more advanced e-mail management facility which comes as an add-on module allows management control over documents which are also stored on a database.
